Getting orders into Sage without rekeying them
Emailed and web orders read, checked and approved in one place, then created in Sage as sales orders or invoices, using the route your edition of Sage supports.
- Sage
- Microsoft 365
- OpenAI
Many Sage-based sales offices still key every emailed order by hand, then key half of it again when the invoice goes out. Zestcode Automation builds order platforms that read those orders for you, check them against your Sage data, and create them in Sage once a person has approved them, so the ledger receives clean records and your team stops typing PO lines.
The catch with Sage is that “Sage” covers several quite different products. Sage 50, Sage 200 and Sage Business Cloud Accounting integrate differently, so we confirm the route for your edition during the written specification rather than promising one connection that suits them all.
Where the double handling happens
A typical (hypothetical) picture: a distributor receives 60 orders a day by email, as PDFs from buying systems, spreadsheets from regular customers and the odd order typed into a message. Someone opens each one, finds the customer in Sage, looks up stock codes, checks the price against the price list, and keys the lines. If the PO says one price and Sage another, it becomes a phone call. Later, the same order is touched again to invoice it, and errors made at entry surface as credit notes.
The platform takes over the reading and the checking. AI reads the email body and every attachment together, scores each field out of 10, and flags anything under 7. If a field is missing from the PO, it stays blank instead of being filled with a plausible guess. More on that at order capture.
Does it work with Sage 50 as well as Sage 200?
Yes in principle, by different means. Our plain summary of the three, which we verify against your installation:
Sage 50
Sage 50 is usually desktop software installed on an office PC or server, or hosted. Integration tends to need something that can reach that installation, and depending on the edition, orders may land as sales orders (where sales order processing is in use) or as invoices.
Sage 200
Sage 200 is aimed at larger businesses and is commonly used with its sales order processing module. Routes into it vary with how it is deployed and who your Sage partner is, so we work through the options with you.
Sage Business Cloud Accounting
Sage’s cloud accounting product (often now called simply Sage Accounting) is reached over the internet through its own API. It is built around invoices and quotes, which shapes what an approved order becomes.
What lands in Sage when an order is approved
The record is mapped field by field during specification, and it should be indistinguishable from one your team typed:
- the customer’s existing account reference, matched from the sender or company name
- the customer’s PO number in the reference field, so it prints on paperwork and can be searched
- each line with your stock code, quantity and Sage price, not the price on the PO
- carriage as a line or charge, coded as you code it today
- tax codes and, where relevant, nominal codes agreed with you in advance
Checks made before anything reaches the ledger
Before an order is offered for approval, the platform checks that every product code exists, that stock covers each line, that prices match, and that the PO number hasn’t been used by that customer before. A person approves every order by default. Each approval, edit and removal is written to an audit log with a name and time, which is useful when the auditors ask how a figure arrived.
If Sage is fed by a separate ERP or stock system in your business, we connect to that system instead and leave Sage receiving invoices as it does now.
Price and ownership
The first phase (capture, review and the Sage connection) is usually £8k–£12k excluding VAT and takes around six weeks. Warehouse handhelds and carrier booking can follow. Figures are indicative until a free written specification, after which the quote is fixed for 90 days.
Nothing is rented. On completion the code and its hosting sit in accounts in your company’s name, with no per-user charges, and support from us afterwards is optional. See pricing for running costs.
Common questions
Straight answers to what people ask us about this before a call.
We run Sage 50 on a server in the office. Can a hosted platform still reach it?
Often, but it depends on how your Sage 50 is installed and accessed. Desktop Sage 50 doesn’t expose the kind of open web API that cloud systems do, so the route may involve a small connector running on your own network or a hosted Sage 50 arrangement. We look at your setup during specification and tell you plainly whether it’s workable before you commit.
Do orders go into Sage as sales orders or straight to invoices?
Whichever matches how your office works now and what your edition supports. Businesses using sales order processing in Sage 50 or Sage 200 usually want sales orders, so stock is allocated and invoicing happens later as normal. Sage Accounting is invoice-led, so orders there tend to become invoices. The choice is written into the specification, field by field.
Will this change how our accountant works with Sage?
It shouldn’t. The platform creates the same records your staff would key, with the same customer accounts, stock codes and tax codes, so reports, VAT returns and month-end carry on as before. Your accountant sees ordinary transactions. The difference is that each one has passed a price, stock and duplicate check before it was posted.
What if we move from Sage 50 to Sage 200 later?
The capture, review and approval parts of the platform don’t depend on which Sage you run. Only the connection that creates records in Sage would need replacing, and that is a contained piece of work quoted separately at the time. Your team keeps the same review screen and order history throughout the move, which can make the change of system easier.
Can new customer accounts be created in Sage from the review screen?
Where the integration route for your edition allows it, yes: an order from an unknown sender can become a new customer account in one click, using the details on the PO. Where it doesn’t, the order waits until the account exists in Sage. We confirm which applies to your setup during the specification, before any quote is fixed.
