Watched around the clock
A dedicated order inbox, such as orders@ on Microsoft 365, is monitored 24/7. New orders are processed moments after they arrive.
Customers send orders as PDFs, spreadsheets, Word documents or a few lines in an email. We turn every one of them into a structured order your team can check and approve, without retyping a thing.
A dedicated order inbox, such as orders@ on Microsoft 365, is monitored 24/7. New orders are processed moments after they arrive.
PDF, Excel, Word and the email body are read together, so an order split across an email and two attachments is treated as one.
Each extracted field gets a confidence score. Anything under 7/10 is flagged for review, and missing details are left blank rather than invented.
The sender’s email address or company name is matched to a customer account in your ERP. New customers can be created in one click.
If a customer has already used a PO number, the email is dismissed, so a reply to an old thread never creates a second order.
The finished order is parked in the review queue with its warnings attached, ready for someone to check and approve.
Whether it’s a tidy PDF from a buying system or an order typed into the body of an email, the output is the same: customer, PO number, dates, delivery details and line items in one consistent structure.
AI is very good at reading orders, but it isn’t infallible. Rather than hide uncertainty, the platform shows it: every field carries a score and low scores are highlighted for the reviewer.
Before an order reaches the queue, each line is checked against your ERP. Does the product code exist? Is it in stock? Does the price match? The customer and PO number are checked too.
Order capture is built in the first phase, alongside order review and ERP sync.
